What this review is

Companion Technologies Ltd reviews one clearly defined business process and works out what is actually happening: what the process is meant to achieve, what happens in reality, where time, information, responsibility or value is being lost, where people are manually compensating for the process, and which change should be made first.

  • A fixed-scope review of one clearly defined business process.
  • A practical diagnostic and improvement service, not a software sale.
  • An evidence-led review that separates what is known, reported, observed, inferred and still unknown.
  • A route to identify the smallest useful change before a business commits to a larger transformation project.
  • A written hand-back that leaves the client with the findings and next actions even if no further work is commissioned.

We do not score people. We score requirements.

The review tests the process, requirements, evidence, handovers, responsibilities and outcomes — not the worth of an employee, manager, supplier or customer. A process can fail without turning the person inside it into the problem.

What this review is not

  • It is not a promise that every process requires technology.
  • It is not a general audit of the entire business unless a wider scope is separately agreed.
  • It does not replace legal, accounting, engineering, tax, regulated HR, clinical, safeguarding, health and safety, cybersecurity or other specialist professional advice.
  • It does not require the client to buy software, licence a platform or commission implementation work from Companion Technologies.

Does this sound familiar?

Repeated chasing

Staff repeatedly follow up the same information, approval, document or decision.

Duplicate work

The same information is entered, checked, copied or explained more than once.

Single-person dependency

One person has become the memory, translator or manual control point for a process.

Slow approvals

Work waits because authority, evidence or the next decision is unclear.

Poor handovers

Information is lost or reconstructed when work moves between people, teams or systems.

Workarounds

Staff have created unofficial spreadsheets, notes, messages or habits to keep the process functioning.

Unclear ownership

Everyone is involved but nobody clearly owns the next required action.

False completion

A system shows that something was sent, closed or completed but the intended result has not actually been achieved.

Avoidable customer burden

Customers or suppliers repeatedly supply the same information or chase the business to keep the route moving.

Process / technology mismatch

The system technically works, but humans are adapting themselves around it to get the real job done.

What the review identifies

Required outcome

What the process is actually meant to achieve for the business and the people using it.

Current reality

What happens now, including real handovers, systems, workarounds and decision points.

Material evidence

Documents, records, observations and client-provided information relevant to the selected process.

Failure and delay points

Where the process loses time, information, authority, quality, value or continuity.

Hidden human burden

Where staff, customers, suppliers or managers are manually carrying work that the formal process does not show.

Earliest material hold

The first unresolved condition blocking the process from reaching the required outcome cleanly.

Necessary change

What genuinely needs to change rather than what is merely visible or irritating.

Practical next route

The lowest-burden sequence of actions that can reasonably improve the process.

Proof requirement

What evidence would show that the change actually improved the original problem rather than simply moving it elsewhere.

Evidence before assumption.

The review does not turn assumptions into facts. Material statements are kept in the correct evidence state so the client can see what is established, what has been reported, what has been observed or inferred, and what still needs proving.

Friends Don’t Lie.

If the evidence does not establish an answer, the report will say UNKNOWN rather than inventing certainty. If material accounts conflict, the point remains DISPUTED until it is resolved.

What you receive

The £750 fixed fee covers the agreed review of one defined process and the following core outputs, subject to the client-specific scope.

  1. 1.Discovery recordA concise record of the required outcome, reported problem, boundaries and decision-maker.
  2. 2.Current-state mapA clear description of what happens now, including relevant handovers, systems and decision points.
  3. 3.Required-state definitionWhat must be true for the process to perform the job it is meant to perform.
  4. 4.Evidence summaryMaterial evidence used, material gaps and any points that remain unknown or disputed.
  5. 5.Failure / burden findingsWhere delay, duplication, loss, uncertainty or manual compensation is occurring.
  6. 6.Principal holdThe earliest material condition blocking a cleaner route.
  7. 7.Prioritised recommendationsActions ordered by importance and practical dependency rather than by how visible the problem is.
  8. 8.Next-action routeA practical sequence the client can follow after the review.
  9. 9.Hand-back discussionA final discussion to explain the findings, answer questions and confirm what the client controls next.

What we need from you

The review works best when the client provides enough access to understand the selected process without creating a separate administrative project.

The exact requirement depends on the process but may include:

  • A named business contact who understands the process or can obtain the relevant information.
  • A clear statement of the problem and the outcome the business actually wants.
  • Access to relevant process documents, forms, emails, screenshots, system outputs, spreadsheets or records where necessary and lawful.
  • Short conversations with the people who actually use or manage the process, where useful and agreed.
  • Honest disclosure of known workarounds, repeated failures and previous attempts to fix the issue.
  • Prompt clarification where material evidence is missing or conflicting.

Minimum necessary evidence

Companion Technologies does not need every company document. Evidence requests should remain proportionate to the selected process and the decision being made.

Commercial position

Fixed fee

£750 for one agreed Business Process & Burden Review.

Instruction payment

£375 due when the client-specific scope is accepted and the work is instructed.

Delivery payment

£375 due on delivery of the agreed written findings and hand-back.

VAT

VAT will only be added if legally applicable at the date of invoice.

Start condition

Paid work begins after the client-specific scope is agreed and the instruction payment is received.

Additional scope

Any additional process, implementation work or materially expanded requirement is quoted separately and is not assumed.

Third-party / unusual costs

No unusual travel, external specialist or third-party cost is incurred on the client’s behalf without prior agreement.

No follow-on obligation

The client is not required to commission implementation, software, licensing or any other Companion Technologies service after the review.

The £750 review is the complete agreed fixed-scope service. A client does not become committed to a larger project simply because the review identifies further opportunity. Any later work requires a separate decision and scope.

Professional boundaries

The review is intended to identify and improve business-process function. It does not replace professionals whose regulated or specialist competence is required for a particular decision.

Where appropriate, Companion Technologies may identify that specialist input is required. Identifying that requirement does not itself constitute specialist advice.

  • legal advice and representation
  • accounting, tax and statutory financial advice
  • engineering design and safety-critical technical decisions
  • regulated HR / employment-law decisions
  • clinical decisions
  • safeguarding
  • data-protection specialist decisions
  • cybersecurity
  • other regulated professional matters

The client receives the agreed findings and action route. Companion Technologies Ltd’s underlying proprietary methods and internal implementation materials are not transferred as part of the £750 review.

Examples of processes we can review

Examples are illustrative only. The review remains one defined process per instruction.

Purchasing / approvals

Requests, approvals, supplier selection, purchase orders, receiving, invoice matching and exception handling.

Job handover

Moving work from estimating or sales to delivery, office to site, shift to shift or one team to another.

Customer enquiry / service

How requests enter the business, are routed, answered, tracked and closed.

Document / evidence flow

Version confusion, duplicated records, missing approvals or information that must repeatedly be reconstructed.

Scheduling / coordination

Work that stalls because availability, dependencies, ownership or next actions are unclear.

Stock / materials

Information and decisions around need, ordering, location, receipt and use of materials.

Onboarding / internal administration

Repeated forms, unclear responsibilities, duplicated entry or dependence on individual memory.

Complaint / exception handling

Cases that bounce between people or systems because ownership, evidence, authority or remedy is unclear.

Why one process?

A business should not have to buy a large transformation programme before anybody has proved what the actual problem is.

The Business Process & Burden Review is deliberately bounded so the client can test one meaningful problem at a known price.

Technology should adapt to humans, not humans adapt to technology.

The review therefore starts with the real required outcome and the people carrying the process before recommending new systems or tools.

If the correct answer is a simpler form, clearer ownership, a better handover, removal of duplicated work or a change in sequence, the review can recommend that.

If software or specialist implementation is justified, the report can identify that requirement without making a software purchase a condition of the review.

If you want help afterwards

The fixed review ends with the hand-back.

If the client later wants help implementing a recommendation, that is a separate commercial decision.

Possible later routes may include:

  • a separately scoped implementation plan
  • process documentation or operating procedure development
  • supplier / technology option research where a tool is genuinely required
  • a controlled pilot of a proposed change
  • measurement of the repaired process against the original acceptance requirement
  • a wider multi-process or organisation-level review, separately priced and agreed

No follow-on route is included in the £750 fee unless it is explicitly added to the client-specific scope.

How to start

  1. 1.Choose one processSelect the process causing the most avoidable time, chasing, mistakes, delay or manual compensation.
  2. 2.Have the initial conversationExplain what should happen, what actually happens and who currently carries the gap. Companion Technologies will confirm whether the issue appears suitable for the fixed review.
  3. 3.Agree the scopeCompanion Technologies issues a short client-specific scope defining the process, required outcome, deliverables, exclusions and commercial position.
  4. 4.Instruct the reviewThe client accepts the scope and pays the £375 instruction payment.
  5. 5.Receive the findingsCompanion Technologies completes the agreed review, provides the written findings and hand-back, and the remaining £375 becomes due on delivery.
